Room booking rules


Room booking rules at the Krzysztof Penderecki Academy of Music in Kraków, effective from 5 September 2023, in accordance with Decision No. 2/2023 of the Vice-Rector for Education of 5 September 2023.

 

Room booking rules – general instructions on access to rooms in AMKP
  1. In order to coordinate classes, artistic and scientific projects, and the room rental in AMKP, the Room booking calendar is used – to inform on the accessibility of rooms for classes, exams, rehearsals, concerts and other artistic and scientific events.
  2. The availability of rooms is visible to teachers, doctorants, students, trainees and scholarship holders through the NESOS system, and for administrative staff – through the link.
  3. Room keys are given on the basis of the booking.
  4. Each room has a coordinator, who is appointed in consultation with the Vice-Rector for Education. The list of room coordinators is available in the NESOS system and at: http://nesos.amuz.krakow.pl/koordynator/
  5. The coordinator regulates the rules of access to rooms, makes bookings and reports people who can book rooms on their own. The coordinator settles any disputes regarding access to the coordinated rooms. If a room has more than one coordinator, the decision on booking is made by the one listed in the “koordynator” (coordinator) column.
  6. Room coordinators, including people or groups of people who can book the room, are listed in the “dostępność” (availability) column.
  7. “TAK” (yes) in the column “do ćwiczeń” (for practice) on the room coordinators list means that every student can collect the keys to the indicated room.
  8. The following order of the access to rooms applies:

1) a pedagogue who has the room booked,
2) a pedagogue or a member of the group mentioned in the “dostępność” (availability) column,
3) a student who made the booking,
4) every pedagogue,
5) every student – only if the room is available for practice (TAK [yes] in the “do ćwiczeń” [for practice] column).

  1. If a pedagogue has to use the room which had already been booked by a student, he or she should inform the student about it at least 3 hours before the time of booking.
  2. If the room which had been booked became available (cancelled classes, etc.), the information about the booking shall be removed without delay.
  3. If the key to the booked room is not collected within 10 minutes from the booking time, the room may be made available to other people.
  4. Students may book (use) the rooms on their own for two hours a day. After this time they should make the room available to the next person willing to use it – unless there are no subsequent bookings and nobody reports such a need.
  5. Only coordinators may enter periodic room bookings.
  6. Bookings for the classes may be made only until the first day of the exam session. During the exam session, entrance examinations and holidays, the room bookings shall be agreed with the Teaching Office.
  7. For those who do not comply with these provisions or do not use the rooms which they booked, the booking rights may be limited or revoked.
  8. The list of coordinators and access to rooms is not permanent. Both availability of rooms and booking rights may change, as the need arises.
  9. Requests for granting/changing rights to booking shall be sent by room coordinators to the following address: sale@amuz.krakow.pl
  10. Any matters related to room bookings that go beyond the established guidelines shall be resolved by the relevant room coordinators.
