{"id":53155,"date":"2021-09-27T11:35:31","date_gmt":"2021-09-27T09:35:31","guid":{"rendered":"https:\/\/www.amuz.krakow.pl\/?page_id=53155"},"modified":"2026-10-05T15:46:33","modified_gmt":"2026-10-05T13:46:33","slug":"dostep-do-sal","status":"publish","type":"page","link":"https:\/\/www.amuz.krakow.pl\/en\/dostep-do-sal\/","title":{"rendered":"Room booking rules"},"content":{"rendered":"<p>Room booking rules at the Krzysztof Penderecki Academy of Music in Krak\u00f3w, effective from 24 September 2026, are available in the <a href=\"https:\/\/www.amuz.krakow.pl\/bip\/decyzja-nr-3-2026-prorektora-ds-ksztalcenia-i-wspolpracy-miedzynarodowej-z-dnia-24-wrzesnia-2026-r\/\">Decision No. 3\/2026 of the Vice-Rector for Teaching and International Cooperation of 24 September 2026<\/a><\/p>\n<p>&nbsp;<\/p>\n<p>English version below:<\/p>\n<h6 style=\"text-align: center;\">Annex No. 1 to the Decision of Vice-Rector for teaching and international cooperation No. 3\/2026 of 24 September 2026<\/h6>\n<p>&nbsp;<\/p>\n<p style=\"text-align: center;\"><strong>\u00a7 1<br \/>\n<\/strong><span style=\"font-size: 12pt;\"><strong>General rules<\/strong><\/span><\/p>\n<ol>\n<li>In order to coordinate classes, artistic and scientific projects and room rental in AMKP, the Room Booking Calendar is used, which informs on the availability of rooms for classes, exams, rehearsals, concerts and other artistic and scientific events.<\/li>\n<li>The availability of rooms is visible to academic teachers, doctoral students, students and participants of courses and postgraduate studies through the NESOS system, and for administrative staff &#8211; through a link.<\/li>\n<li>The rooms being at the disposal of departments, for which there is no record of reservations in the Room Booking Calendar, the rules of booking are determined by the relevant department. In all other respects the rules specified hereby shall be applied respectively.<\/li>\n<li>Room keys are issued on the basis of the booking.<\/li>\n<li>Each room has a coordinator, appointed in consultation with the Teaching Office. The list of room coordinators is available in the NESOS system and at <a href=\"http:\/\/nesos.amuz.krakow.pl\/koordynator\/\">http:\/\/nesos.amuz.krakow.pl\/koordynator\/<\/a><\/li>\n<li>In general, the teaching room booking and availability is supervised by the Teaching Office.<\/li>\n<li>Any disputes regarding the access to a room shall be resolved by its coordinator. The key decision-maker for rooms coordinated by more than one coordinator is the person indicated in the &#8220;koordynator&#8221; column.<\/li>\n<li>The list of room coordinators specifies the persons and groups entitled to reserve the given rooms in the &#8220;dost\u0119pno\u015b\u0107&#8221; (availability) column.<\/li>\n<li>\u201cTAK\u201d (yes) in the \u201cdo \u0107wicze\u0144\u201d (for practice) column on the room coordinators list means that every student is allowed to collect the keys to the indicated room.<\/li>\n<li>The following order of the access to rooms applies:<\/li>\n<\/ol>\n<ul>\n<li>academic teacher who has booked the room;<\/li>\n<li>academic teacher or a member of the group mentioned in the &#8220;dost\u0119pno\u015b\u0107&#8221; column;<\/li>\n<li>every academic teacher;<\/li>\n<li>every student &#8211; only if the room is available for practice (&#8220;TAK&#8221; in the &#8220;do \u0107wicze\u0144&#8221; [for practice] column).<\/li>\n<\/ul>\n<ol start=\"11\">\n<li>If an academic teacher needs to use the room which had already been booked by a student, he or she should inform the student about it at least three hours in advance.<\/li>\n<li>If a booked room becomes available (due to e.g. cancelled classes), the reservation in the Calendar shall be removed without delay.<\/li>\n<li>Students may book the rooms on their own for two hours a day maximum. After this time they may continue to use the room, subject to availability.<\/li>\n<li>If the key to a booked room is not collected within 15 minutes, the booking is cancelled.<\/li>\n<li>Students are allowed to book the rooms maximum one week in advance, unless the coordinator decides otherwise.<\/li>\n<li>Bookings must be made under the name of a single member of staff, student, doctoral student, postgraduate student or participant in another form of study.<\/li>\n<li>The person whose bookings lack complete description or who provides false personal data may have the Booking Calendar access revoked.<\/li>\n<li>Recurring room bookings can be made by coordinators only.<\/li>\n<li>Recurring room bookings can be made only until the first day of the exam session. During the exam session, entrance examinations, inter-semester and holiday breaks, the room bookings shall be agreed with the coordinator.<\/li>\n<li>For those who do not comply with these provisions or do not use the rooms which they booked, the booking rights may be limited or revoked.<\/li>\n<li>In the event of non-compliance with the Room Booking Regulations by students and participants of postgraduate studies, or participants of other forms of education, the coordinator shall inform the Vice-Rector for Student Affairs of the case.<\/li>\n<li>In the event of non-compliance with the Room Booking Regulations by staff or doctoral students, the coordinator shall inform the Vice-Rector for Education of the case.<\/li>\n<li>Room coordinators, room access, and room booking rights may change as the need arises.<\/li>\n<li>Requests to grant or modify booking rights shall be submitted by room coordinators to the following address: sale@amuz.krakow.pl.<\/li>\n<li>Any matters related to room bookings not covered by these regulations shall be resolved by the relevant room coordinators.<\/li>\n<\/ol>\n<p>&nbsp;<\/p>\n<p style=\"text-align: center;\"><strong>\u00a7 2<br \/>\n<\/strong><span style=\"font-size: 12pt;\"><strong>Rules for booking rooms for classes<\/strong><\/span><\/p>\n<ol>\n<li>To book a room for collective or group classes, the dean or vice-dean shall report the need to the relevant coordinator once the educational process has been arranged &#8211; but no later than the last week of September.<\/li>\n<li>Given the multi-purpose character of the Chamber Hall, which is used for teaching as well as artistic and scientific activities, booking requests for collective and group classes must be submitted to the Teaching Office before 15 July preceding the given academic year.<\/li>\n<li>Priority for room bookings is given to general academic and faculty collective classes (including orchestral, choir, vocal and opera ensemble rehearsals, and theory of music classes).<\/li>\n<li>Coordinators are entitled to book rooms for recurring individual and ensemble classes from the date they receive their academic teacher&#8217;s workload allocation until 10 October. As a rule, the duration of the booking should correspond to the allocation, while allowing for a certain time margin. Coordinators verify the scope and validity of the recurring bookings made.<\/li>\n<li>Academic teachers are entitled to book rooms outside the allocation, provided that the purpose of reservation is precisely specified. Repeating reservations of this type, especially covering extended periods of time, may be subject to review by the coordinator regarding their purpose and scope.<\/li>\n<li>Teaching rooms may be used only for the purpose of teaching, artistic and scientific activities, and other tasks realized by the Academy (including e.g. consultations for candidates for studies). The use of the rooms for private teaching activities is strictly prohibited.<\/li>\n<\/ol>\n<p>&nbsp;<\/p>\n<p style=\"text-align: center;\"><strong>\u00a7 3<br \/>\n<\/strong><span style=\"font-size: 12pt;\"><strong>Rules for booking rooms for exams<\/strong><\/span><\/p>\n<ol>\n<li>Rooms for semester, diploma and entrance exams may be booked only after the AMKP Senate has determined the academic calendar but not earlier than 1 May of the preceding academic year.<\/li>\n<li>Room bookings, in particular those made far in advance, including those covering extended periods of time, must be verified on a regular basis by persons responsible for the events organized in these rooms, to avoid instances where booked rooms remain unused.<\/li>\n<li>Artistic or scientific projects shall not be organized in the Academy&#8217;s classrooms during the exam session, the week preceding it, or during entrance exams.<br \/>\nw salach Akademii.<\/li>\n<\/ol>\n<p>&nbsp;<\/p>\n<p style=\"text-align: center;\"><strong>\u00a7 4<br \/>\n<\/strong><span style=\"font-size: 12pt;\"><strong>Rules for booking rooms for artistic and scientific events<\/strong><\/span><\/p>\n<ol>\n<li>Academic teachers, doctoral students, students, and other participants of educational activities undertaking artistic or scientific events should submit room reservation requests to the room coordinators, subject to the approval of the relevant head of department, the director of the Doctoral School, or the mentor of a student research group.<\/li>\n<li>Room bookings for artistic and scientific events may be made well in advance, in accordance with research and cultural activity plans of the Academic organisational units. These reservations should take into account the needs of other organisational units and must not lead to excessive and unjustified restrictions on rooms availability.<\/li>\n<li>The provisions of \u00a7 3(2) shall apply accordingly to room bookings for artistic and scientific events.<\/li>\n<li>Room bookings for artistic and scientific events shall not interfere with educational activity.<\/li>\n<li>Booking rooms for large-scale events, in particular congresses, conferences and summer courses, which require the use of a significant proportion of the Academy\u2019s premises, shall be made only in consultation with the Academy authorities. Such events shall be scheduled outside of teaching periods, exam sessions, or entrance examinations.<\/li>\n<li>The rules set out in this paragraph shall apply accordingly to granting room access to external entities respectively.
